Introducing Google Apps for Education

We are delighted to announce that we are introducing a new email service for OCAD University students. The new service, powered by Google Apps, provides more storage as well as an intuitive interface and will integrate with a host of other services. Best of all, your current OCAD U email will be migrated to your new inbox with little disruption.

What is the Google Apps at OCAD U?
Google Apps at OCAD U is a package of web applications that includes Webmail, Calendar and Documents. Google Apps at OCAD U also provides over 25 gigabytes of email storage, thus providing you with increased operating space.
What Google Apps are included?
All of the Core Apps are included with Google Apps for Education, including Mail, Calendar, Groups, Talk, Docs, Sites, Contacts, and Message Security (spam filtering). Contrary to the link above, it does not include Video.
There are additional apps, however they are unsupported at this time: either they are not covered by our agreement with Google, or not available at all for Google Apps at OCAD U.
When are we migrating to Google Apps at OCAD U?
We are migrating the current student email accounts to Google Apps at OCAD U on Friday 7 October 2011 from 4:00pm to 6:00pm. You will not be able to log in to your email during this time.
Starting at 6:00pm on Friday 7 October, we will be copying the mail from your old email account to Google: your account will be empty, but don’t panic! Your old email will be en route to your new account. We expect this will take about 48 hours.
If your email still has not been migrated by Tuesday 11 October, please contact the IT Help Desk.
Which student email accounts are being migrated to Google Apps at OCAD U?
All active student accounts are being migrated to Google Apps at OCAD U. Active students are students who are either now enrolled or have been enrolled at some point since 2009.
- If you are an active student who is currently enrolled
We are creating an account for you, and moving your email. Nice! - If you are an active student, but NOT currently enrolled
We have provisioned a Google Apps at OCAD U email account for you, BUT we have not copied your email from the old Student Email server.
If you would like your email copied (we call it migrated), please contact the IT Help Desk at ithelp@ocad.ca or x277 before December 17 2011. You can access your old email at http://oldstudentemail.ocad.ca/ - If you are not an "Active Student"
If you were last enrolled prior to 2009, we have not provisioned a Google Apps at OCAD U account for you. If you are planning to return to OCAD U at some point in the future, we would be happy to provision an account for you at that time.
If you have any further questions, please do not hesitate to contact the IT Help Desk ithelp@ocad.ca or x277 before December 17 2011.
Yes. OCAD University is transitioning to the ocadu.ca domain and will be fully transitioned by January 2012. For the Google Apps at OCAD U launch, student email addresses will be created with a @student.ocadu.ca extension. Until May 2012, any email sent to your old address will be automatically forwarded to your new address.
Is the URL changing to get to Student Email?
Yes. It is changing to https://studentemail.ocadu.ca although we will be placing a redirect at https://studentemail.ocad.ca to resolve to the new https://studentemail.ocadu.ca address.
What will be my username and password and where do I login?
Your username and password will remain the same as your current Student Email username and password. You can login at https://studentemail.ocadu.ca
Please log in to My Records to change your password.
What about email sent to @student.ocad.ca?
We have setup a mail forwarding service that will redirect email sent to @student.ocad.ca addresses to @student.ocadu.ca addresses. This mail forwarding service will be in effect until May 2012.
What happens to my old Student Email?
IT Services will be copying your old student email to the new Google Apps at OCAD U. If there are any issues with the copying of your email, please contact the IT Help Desk for assistance.
The old Student email system will remain accessible at https://oldstudentemail.ocad.ca until the end of the Fall Semester and only allow you to send email: no new email will be received.
How long can I access my old messages at https://oldstudentemail.ocad.ca
As mentioned above, the old Student email system will remain accessible at https://oldstudentemail.ocad.ca until the end of the Fall Semester, which is December 17 2011. It will only allow you to send email: no new email will be received.
I already have a personal Gmail account. Do I still need a Google Apps at OCAD U address?
Yes. Personal Gmail accounts are different than your Google Apps at OCAD U Email account Your Google Apps at OCAD U Email address is now the primary email address and the official means of communication between the University and you..
Will I see advertisements in my email?
No. Google Apps at OCAD U will be free of advertisements.
Will I still be able to forward email to another address?
No. You will not be able to forward your email to another address. Too much email forwarded to personal accounts bounces back and is not delivered. Creating a single and official means of communication with you means we can ensure you receive our messages. The University’s official means of communication with you is your Google Apps at OCAD U email address.
We suggest that you use an IMAP client like Apple Mail, Thunderbird, Outlook or supported mobile device like an Apple iPhone, iPod Touch or Android phone to check and organize your email: this keeps your personal and university email distinct and separate.. It also guarantees that you receive all of your email.

Can I check my Google Apps at OCAD U with Outlook/Apple Mail/Thunderbird, iPhone, Android Phone or another email client?
Yes, using IMAP. However, you will need to reset your password in My Records in order for it to work.
We have already enabled IMAP on your accounts, so you do not need to follow this step in the Google Help instructions.
You can setup your Google Apps email in almost any desktop client or mobile phone:
Contact the IT Help Desk if you run into trouble configuring your client. It works! Really it does!
Can I use POP/IMAP to Import/Export mail?
To ensure your security and privacy, this is an unsupported feature that we strongly recommend against.
How can I ensure that my account is safe when I use a shared or public computer?
Always sign out of your Google Apps at OCAD U account at the end of your session. If you do not make sure to sign out, the next person who uses the computer may be able to access your information.
What are Google’s security and privacy policies?
OCAD U has conducted a thorough Privacy Impact Assessment of Google Apps for Education. If you would like a copy of this document, you are welcome to contact the IT Help Desk for more information.
Is email secure? When you check your email, Google provides a secure connection from your web browser and/or email client. This encrypts the data between you and Google’s servers while you view or collect your mail. This is the same system that banks use to secure your connection for online banking.
Take the following steps to protect your privacy when using email:
- When using a shared or public computer, always sign out of your Student Email account at the end of your session to ensure that the next user cannot view your mail.
- The more complex your password, the better. Passwords that include a combination of upper- and lower-case letters, numbers and characters are the most secure.
- Confirm that links in emails are genuine before opening them and exposing your account to a virus.
- Turn off your preview pane – some viruses can be activated by an email preview.
- When sending important information in a file attachment, protect the file with a password.
What policies apply to my Google Apps at OCAD U account?
Your Google Apps at OCAD U account is subject to the OCAD U Network Acceptable Use Policy, and any other OCAD U Policies, and Google’s Terms of Service for Google Apps for Education.
Will IT provide support for all Google applications?
Yes, contact IT Services about any issues you are experiencing with Google Apps at OCAD U.
Please go here to get the list of fully supported browsers (we recommend using these to get all of Gmail's newest features).
Where will I get technical support?
Technical support is provided at both the IT Help Desk 100 and Laptop Help Desk100.
