Copy as a Student
How to Load My Student Copy Account
- Go to the cashier in the Red Building (Rosalie Sharp Pavillion) at 115 McCaul Street in the basement.Present your student card to the cashier.
- Indicate that you want to add to your copy account, and not your print account.
- Pay the cashier the amount you want added to the account. The cashier accepts cash, debit and credit cards.
- Remember that your copy and print accounts are two separate entities. In order to photocopy, you must add money to your copy account, not your print account.
You cannot add money to your copy account at the Digital Print Centre.

How to Use the Public Copiers as a Student
- Make sure you have filled your copy account before you begin. Please see the article on How to Load My Student Copy Account.
- First time users will have to set up their card by registering their pin on the system. Follow steps below.
- Locate the proximity card reader machine on top of the copier. It is a small box-shaped device located on the left hand side of the machine with a small LED red light.
- Tap your card to the proximity reader.
- The screen will say "Unrecognized PIN register PIN with user account" press yes.
- For the username enter your student username (which is how you log into the school system) press enter.
- For the password use the same password for the school system. Press Shift to get to a capital letters keyboard. Press [abc] to pull up options for a special characters keyboard. Press [abc] to revert back to the normal characters keyboard. Once you have entered your password press "enter"
- If your log in was successful the proximity reader light will turn from red to green and the top right portion will say logged on.
- The machine is now ready to copy.
- If you receive a "log in" error it most likely means you do not have enough funds in your account.
- If you have checked your account balance and are still receiving an error, please visit the Digital Print Centre Level 2 (rm 225 of 100 Mc Caul) during the hours of 8am-4pm for assistance.
How to Fix My Student Copy Card
If you swipe your card and it displays the words: “Invalid Account” or “Quota Exceeded”:
- Go to the Digital Print Centre: Level 2. A staff member can help you between the hours of 8am and 4pm.
If you swipe your card nothing happens:
- Go to Campus Services & Security. They are located in the Red Building (Rosalie Sharp Pavillion) in the basement. A staff member can help you between the hours of 8:30am to 4:30pm.
If you have insufficient Funds:
- Please see the article on How to Load My Student Copy Account.
How to Have Copies Made as a Student
- For jobs of less than 100 impressions, please use the public copiers.
- For jobs greater than 100 impressions, go to the Digital Print Centre: Level 2 in Room 266.
- Ensure your student print account has sufficient funds. Refer to our price list or call ahead for an estimate.
- Present your student card.
- Fill out a copy slip for each set of documents and attach.
- Ensure your documents are not stapled.
- Submit your documents to the Print Centre staff.
Turnaround times can vary depending on the demand on the day of submission. Please call ahead for a time estimate.
Copy as a Faculty Member
How to Have Copies Made as Faculty
- Go to the Digital Print Centre: Level 2 in Room 266.
- Present your faculty card.
- Fill out a copy slip for each set of documents and attach.
- Ensure your documents are not stapled.
- Submit your documents to the Print Centre staff.
Turnaround times can vary depending on the demand on the day of submission. It usually takes less than an hour for jobs of less than 500 impressions. Feel free to call ahead for an estimate for larger jobs.
Items subject to copyright will not be copied without written permission from the appropriate parties.
Contact your faculty office. They will arrange for you to receive a Photocopy PIN.
Faculty copiers are located in every faculty mailroom, next or adjacent to the faculty office itself. These can be used by both faculty and staff.

How to Use the Copiers in the Faculty Mailroom
- If the screen is blank, press the neon-green power-saver button on the keypad.
- Press “User ID” on the interface screen.
- Enter your Photocopy PIN. If you do not know your PIN, please consult with your faculty office.
- Press “Save” on the interface screen.
- Press “Account ID” on the interface screen.
- Enter the number “1”.
- Press “Save” on the interface screen.
- Press “Enter” on the interface screen.
- The machine is ready to copy.
To log out:
- Press “Access A” on the keypad.
- Press “Logout” on the interface screen.

How to Use the Public Copiers as Faculty
- Press the neon-green power-saver button located on the keypad of the copier.
- Locate the card swipe machine on top of the copier. It is a small box-shaped device with a keypad and an LCD text display.
- Hold your card swipe-side up.
- Swipe the thick magnetic stripe through the machine.
- The card swipe machine should first briefly display your name and your balance, and then show the word “copying”. If your card is not working, please see How to Fix My Faculty Copy Card.
- The machine is now ready to copy.
How to Fix My Faculty Copy Card
If you swipe your card and it displays the words: “Invalid Account” or “Quota Exceeded”:
- Go to the Digital Print Centre: Level 2. A staff member can help you between the hours of 8am and 4pm.

How to Fix the Copiers in the Faculty Mailrooms
If there is a paper jam:
- Most paper jams can be cleared without assistance. Follow the instructions on the screen of the machine. The machine shows you in pictures which doors to open and which levers to press.
- If there is paper jammed in the fuser, wait 20 minutes before attempting to remove the jam. The fuser is very hot and can burn skin.
- Remove paper slowly with two hands to prevent the paper from ripping.
- If the door will not close, a lever on the inside of the printer has not been put back to its proper position. Recheck the levers and try again.
- If you are unable to clear the jam, please contact Copy & Print Services. Please make note of any error messages.
If the copier needs more toner:
- Open the front door of the copier.
- Look for a white circular object with a peach-coloured plastic disc in the middle. This is the toner bottle.
- Flip the peach-coloured tab that obstructs the toner bottle.
- Pull the toner bottle horizontally out of the copier.
- Look for the spare toner bottle nearby the copier.
- Insert the toner bottle horizontally back into the copier.
- Flip the peach-coloured tab back over the toner bottle.
- Close the front door of the copier.
- The machine is ready to copy.
If the copier is displaying an error message other than a paper jam:
- Please record the error message and contact Copy & Print Services for support.
Copy as a Staff Member
How to Get a Staff Photocopy PIN
- Contact your department admin staff or department head. They will arrange for you to receive a Photocopy PIN.

How to Order Paper, Toner or Supplies for Staff
If your department is running low on paper:
- Contact us to order paper via copyprint@ocadu.ca
- Indicate the number of reams or boxes you require, as well as the size and colour.
- Be sure to include an account code which may be billed for the cost of the paper.
- Do not take paper from the copier room. Your department does not pay for the paper that is there.
If the printer in your department is running low on toner:
- Contact us copyprint@ocadu.ca to order toner for HP or Xerox printers.
- Please include the make and model number of your printer, as well as an account code which can be billed for the cost of the toner.
- While we do our best to keep your model of toner in stock, sometimes it requires a few days to take delivery of certain toners.
If the copier in your department is running low on paper, toner or supplies.
- Contact us copyprint@ocadu.ca to order paper or toner for the copier. Please email the same address if the copier indicates that supplies are needed.
